Terms & Conditions

1. General

These Terms & Conditions apply to all bookings, applications, payments, and participation in any retreat, event, or experience operated under The Provence Retreat.

By submitting an application, paying a deposit, or making any payment, you confirm that you have read, understood, and agreed to these Terms & Conditions.

2. Eligibility & Applications

All retreats are subject to an application and approval process. The Provence Retreat reserves the right to accept or decline any application at its sole discretion.

Submitting an application does not guarantee acceptance or a confirmed booking.

3. Bookings & Payments

A 30% deposit is required to secure your place on a retreat. Your booking is not confirmed until the deposit has been received.

The remaining 70% balance is payable according to the payment schedule communicated at the time of booking, which for the avoidance of doubt, is no later than 90 days prior tot he start of the retreat. 

Failure to pay the balance by the due date may result in cancellation of your booking, with the deposit forfeited.

4. Deposit Policy

Due to the upfront investment required to run the retreat, all 30% deposits are strictly non-refundable.

This includes, but is not limited to:

  • Change of personal circumstances
  • Illness or injury
  • Travel disruptions or delays
  • Visa or immigration issues
  • Weather events
  • Force majeure events

We strongly recommend that all guests obtain comprehensive travel insurance at the time of booking.

5. Balance Payment Cancellation Policy

If a customer does need to cancel the trip, the refund of the 70% balance only (excluding the non-refundable deposit) is subject to the following conditions:

  • More than 75 days before the retreat start date:
    100% refund of the balance paid
  • Between 60 and 75 days before the retreat start date:
    50% refund of the balance paid
  • Between 45 and 60 days before the retreat start date:
    25% refund of the balance paid
  • 45 days or fewer before the retreat start date:
    No refund of the balance

No refunds are available for cancellations made within 45 days of the retreat start date.

6. Transfers

Bookings are non-transferable unless expressly approved in writing by The Provence Retreat.

Any approved transfer may be subject to an administrative fee and must meet all eligibility requirements.

Transfers to a future date in lieu of a cancellation are permitted. 

7. No-Shows & Early Departures

No refunds or credits will be issued for:

  • Failure to attend
  • Late arrival
  • Early departure
  • Missed activities or services

8. Changes & Cancellations by The Provence Retreat

The Provence Retreat reserves the right to modify, reschedule, or cancel a retreat due to circumstances beyond reasonable control, including but not limited to:

  • Weather events
  • Government restrictions
  • Supplier or venue issues
  • Safety concerns

If a retreat is cancelled by The Provence Retreat, guests will be offered either:

  • A transfer to a future retreat date, or
  • A refund of payments made, excluding any non-recoverable costs already incurred

No additional compensation will be payable.

9. Accommodation & Inclusions

Accommodation, meals, activities, and inclusions are outlined in retreat descriptions but may be subject to change where necessary.

The Provence Retreat is not responsible for changes made by third-party suppliers.

10. Health, Fitness & Responsibility

Guests participate at their own risk.

You confirm that you are medically and physically fit to participate in retreat activities and accept full responsibility for your health, safety, and wellbeing.

The Provence Retreat is not liable for injury, illness, loss, or damage sustained during the retreat, except where required by law.

11. Travel & Insurance

Guests are responsible for:

  • Travel arrangements
  • Visas and entry requirements
  • Travel insurance

Travel insurance is mandatory and should cover medical expenses, cancellation, delays, and personal belongings.

12. Code of Conduct

Guests are expected to behave respectfully toward other guests, staff, and property.

The Provence Retreat reserves the right to remove any guest whose behaviour is disruptive, unsafe, or inappropriate. No refund will be issued in such cases.

13. Photography & Media

By attending a retreat, you consent to photography and video being taken for marketing and promotional purposes.

If you do not wish to appear in media content, you must notify The Provence Retreat in writing prior to the retreat.

14. Limitation of Liability

To the fullest extent permitted by law, The Provence Retreat shall not be liable for any indirect, incidental, or consequential loss or damage.

Liability is limited to the total amount paid by the guest for the retreat.

15. Force Majeure

The Provence Retreat shall not be liable for failure to perform obligations due to events beyond reasonable control, including but not limited to natural disasters, pandemics, strikes, government actions, or travel restrictions.

16. Governing Law

These Terms & Conditions are governed by and construed in accordance with the laws of France.

Any disputes shall be subject to the exclusive jurisdiction of the courts of France.
